Terms of Use

By accessing the datasets, you agree to the following:

  1. You will not attempt to re-identify any participant.
  2. Data is for research purposes. Non-commercial use only unless separately licensed under CC BY 4.0.
  3. All academic publications using these datasets must cite the associated original paper.
  4. The dataset providers (ARAYA Inc.) accept no responsibility for any direct or indirect damages arising from use of the data.
  5. This project was conducted under ethics approval from the Shiba Palace Clinic Ethics Review Committee, in compliance with the Declaration of Helsinki.

Privacy Policy

ARAYA Inc. (hereinafter referred to as "the Company") is committed to the protection of personal information belonging to all individuals who visit this website. This Privacy Policy explains what information we collect from visitors to japaneeg.araya.org (hereinafter referred to as "this Website"), how we use it, and how we protect it.

Article 1 — Scope and Definitions

  1. This Privacy Policy applies to all individuals who visit this Website (japaneeg.araya.org), operated by ARAYA Inc. (hereinafter referred to as "users").
  2. "Personal Information" refers to information as defined under Japan's Act on the Protection of Personal Information (Act No. 57 of 2003), meaning any information relating to a living individual that can be used to identify a specific person through descriptions such as name, date of birth, address, telephone number, email address, or other details, as well as any information that can identify a specific individual from data alone (e.g., fingerprints, voiceprints, or facial recognition data).
  3. "Specially Sensitive Personal Information" refers to a category of personal information as defined under Article 2, Paragraph 3 of the Act, including information about an individual's race, creed, social status, medical history, criminal record, or physical, intellectual, or mental disabilities, which requires heightened care in its handling to prevent unjust discrimination or prejudice against the individual.
  4. This Website provides information about a large-scale EEG speech decoding research database as part of Japan's Moonshot R&D Program. The datasets themselves are distributed through OpenNeuro (openneuro.org), an independent platform operated by Stanford University, and are subject to OpenNeuro's own terms and privacy policy.

Article 2 — Information We Collect

The Company may collect the following categories of information when users visit this Website:

2-1. Automatically Collected Information

When you access this Website, the following information may be automatically collected by our servers and analytics tools:

  • IP address
  • Browser type and version
  • Operating system
  • Pages visited and access date/time
  • Referring URL
  • Cookie identifiers (see Article 4)

This information is collected for the purpose of operating and improving this Website, and does not by itself identify individual users.

2-2. Information Users Provide Voluntarily (Inquiries)

If a user contacts us by email, we may collect:

  • Name (or nickname)
  • Email address
  • Content of the inquiry

Provision of this information is voluntary. However, without it we may be unable to respond to the inquiry.

2-3. Information Users Provide Voluntarily (ArKairos Newsletter Registration)

If a user registers via the ArKairos Newsletter registration form, we may collect:

  • Name
  • Email address
  • Organization name
  • Job title
  • Country

Provision of this information is voluntary. However, without it we may be unable to complete the Newsletter registration.

Article 3 — Purposes of Use

The Company uses the information collected through this Website for the following purposes:

  1. Operating and maintaining this Website
  2. Analyzing and improving Website performance and user experience
  3. Responding to inquiries submitted via the contact form or email
  4. Providing information about the JapanEEG research database and related publications
  5. Guiding users to the dataset distribution platform (OpenNeuro) for data access
  6. Complying with applicable laws and regulations
  7. Accepting and managing registrations for the ArKairos Newsletter
  8. Sending ArKairos-related updates and announcements to Newsletter registrants
  9. Handling requests from Newsletter registrants to unsubscribe, update, or delete their registration information

The Company will not use personal information for purposes other than those listed above without prior consent from the user, except as permitted by applicable law.

4-1. Use of Cookies

This Website uses cookies — small text files stored on your browser — to improve your browsing experience and to analyze Website usage. Cookies do not contain personally identifiable information and cannot be used to execute programs or introduce malware.

4-2. Google Analytics

This Website uses Google Analytics, an analytics service provided by Google LLC. Google Analytics uses cookies to collect information about how visitors use this Website, such as pages visited, time spent on the site, and the source of traffic. This data is transmitted to and stored by Google on servers which may be located outside Japan.

Google uses this data in accordance with its own Privacy Policy. The data collected through Google Analytics does not include personally identifiable information.

Article 5 — Third-Party Disclosure and External Links

5-1. No Sale or Unauthorized Disclosure

The Company will not provide personal information to third parties without the individual's consent, except in the following circumstances:

  2. When disclosure is necessary to protect the life, health, or property of an individual and obtaining consent is impracticable
  3. When disclosure is particularly necessary for the improvement of public health or the sound development of children, and obtaining consent is impracticable
  4. When cooperation with a national or local government body or its agent is necessary for the execution of duties prescribed by law, and obtaining consent could interfere with those duties

5-2. Outsourcing

The Company may entrust the handling of personal information, in whole or in part, to third-party service providers to the extent necessary for business purposes. This includes work related to the development and operation of this Website, access analytics, and the provision, operation, and storage of registration data for the ArKairos Newsletter registration form (including the use of external services such as Notion). The Company will exercise appropriate supervision over contractors to ensure the fulfillment of confidentiality obligations and the implementation of adequate security management measures.

As a result of the contractors' service delivery, personal information will be stored or processed on servers located outside Japan, including in the United States. By agreeing to this Privacy Policy, users acknowledge the personal information protection systems of such countries and consent to the storage of their data accordingly.

5-3. External Links — OpenNeuro

This Website contains links to OpenNeuro (openneuro.org), the platform through which the JapanEEG datasets are distributed. OpenNeuro is operated by Stanford University and is subject to its own terms of service and privacy policy. The Company assumes no responsibility for the content or privacy practices of external websites.

Users who access OpenNeuro or any other external platform linked from this Website do so under the terms and privacy policy of those respective platforms.

Article 6 — Retention Period

The Company will retain personal information only for as long as necessary to fulfill the purposes described in Article 3, or as required by applicable law.

  • Inquiry-related information (contact form submissions): Retained for 3 years from the date of the final response, after which it will be securely deleted.
  • Access log data (including Google Analytics data): Retained in accordance with Google's data retention policies (default: 14 months).

Article 7 — Security Management

The Company implements technical and organizational security management measures in accordance with its internal regulations. For details on the specific measures in place, please contact us at the address listed in Article 10, and we will respond without undue delay.

Article 8 — Rights of Individuals

In accordance with the Act on the Protection of Personal Information, users whose personal information is held by the Company have the right to request:

  1. Notification of the purpose of use of their personal information
  2. Disclosure of their personal information
  3. Correction, addition, or deletion of inaccurate personal information
  4. Suspension of use or erasure of personal information
  5. Suspension of third-party disclosure of their personal information

To exercise any of these rights, please contact us at the address listed in Article 10. We will respond without undue delay. Please note that we may be unable to fulfill certain requests depending on legal requirements or other circumstances, in which case we will explain our reasons.
